The Employer Basic role is designed for employers whose payroll data typically requires only minimal monthly changes or where restricted access is preferred or required, for example for the company's tax advisor.
It is the light version of the Employer Standard role.
This role allows employers to quickly access payroll-related documents, payroll reports, messages, and a limited employee overview.
Users can also upload documents and send new messages.
This ensures that all relevant information can be reviewed and processed efficiently.
-
When logging in with the Employer Basic role, you can access the following sections:
- Home - Dashboard
- Employees overview
- Documents
-
From the Home dashboard , you can navigate directly to Documents and Messages.
The corresponding tiles display the number of shared documents from the last 30 days. You can upload documents, view unread messages from your Payroll Specialist (PRS), reply to messages, and send new messages.
The tiles on the left display company information and contact details.
-
Click the Messages tile to access your unread messages. A new view will open.
Here you can view your Inbox, Sent, and Completed messages.
Notice
Whenever a new message arrives, a document is uploaded, or payroll is submitted, you will receive an email notification at the email address stored in the system.
-
Navigate to Employees via the headline menu. In the employee overview, you can create employee access if an email address has been entered in the employee's contact details.
The search and filter functions are located on the right above the list. Use them to search for employees or filter the list by user status. You can also show or hide columns as needed.
-
To create employee access, use the checkboxes next to the employee names to select one or more employees. Once employees are selected, the Invite employees button is displayed.
-
Clicking Invite employees opens a new view where you can review the invitation status and whether an invitation can be sent.
If an employee does not have an email address, they cannot be invited. If you click send invitation, it will be sent to potential employees.
-
Employees without an email address cannot be invited. Click Send invitation to send invitations to all eligible employees.
-
Should it be necessary to edit an email address it is possible to change this in the “Invitable” and “Invited” status. But not in the status “Not possible” because the employee is already logged in.
Once you have edited the email address, save the changes accordingly by clicking on the checkmark. The arrow discards the changes and shows you the originally stored address again
-
As described above, documents can be accessed either through the Home dashboard or directly via the Documents menu.
Here you can view, upload, and download company documents.
-
With the Employer Basic role, you cannot:
- Edit company data
- Edit employee data, including contact details (e.g. email address)
- Access additional areas such as Pre-Payroll, Payroll, or Imports
